Drawings and specifications
Give suppliers one controlled version of the requirement
Conflicting files create uncertainty. Put the current drawing number and revision in your enquiry schedule, and say which document governs if the model and PDF differ. Mark superseded files clearly or leave them out. Use recognised material designations and include the applicable specification revision for regulated or quality-controlled work. General phrases such as “high quality”, “strong”, “food safe” or “to standard” do not provide measurable acceptance criteria.
Identify the features that affect fit, function, sealing, alignment, safety or interchangeability. A tight tolerance on every dimension can add process and inspection cost without improving the delivered item. Surface texture, weld appearance, colour, gloss, masking and coating thickness should be defined where they matter. If a physical sample controls appearance, say how and when it will be approved.
Quantity and programme
List quantity for every drawing and separate prototype demand from the likely repeat batch. An annual forecast helps determine whether fixtures, tooling, nesting or stock arrangements could be worthwhile. For site work, give the planned start, completion, shift pattern and hard shutdown window. “As soon as possible” is less useful than a real date and explanation of which milestone drives it.
Lead time can only be confirmed when drawings are approved, material is available, the order is commercially complete and site prerequisites are ready. If your company requires supplier onboarding, purchase-order approval, insurance checks or a vendor portal, mention that process. It may affect how quickly work can be released even after the technical quotation is accepted.
Quality, certification and responsibility
Request material certificates, traceability, dimensional reports, test records, weld evidence, treatment certificates, coating checks, photographs or certificates of conformity before manufacture. These records may require controlled material, witness points or measurements during processing. They are not safely recreated after delivery. State applicable standards and acceptance criteria rather than asking for unspecified certification.
Also make design responsibility explicit. Supplying a part to a customer drawing is not the same as designing a structural frame, pressure system, machine guard or electrical installation. If calculations, regulatory approval, risk assessment or specialist design are required, identify the responsible competent party and deliverables. A quotation should state what is included and what remains with the customer or another designer.
